Notification Tab – User Documentation

The Notification tab in Studio allows you to configure how users are notified via Email or SMS at different stages of a Smartform process. Notifications are sent using templates that can be created and customized in the Templates menu.


Notification Types

1. New Smartform

When it is used:
Sent when a user is first invited to access a Smartform.
This can happen:

  • When you send a Smartform using the Send Dialog.
  • When a Smartform is created via the API.

Configuration:

  • Email: Select an email template for new Smartform notifications.
  • SMS: Select an SMS template for new Smartform notifications.

2. Process Steps

When it is used:
Sent to notify participants about the progress of each process step in the Smartform workflow.

Configuration:

  • Email: Select a template for process step notifications via email.
  • SMS: Process step SMS notifications are not configured here.
    • Instead, they are set up under the Process tab in Studio.

3. On Completion with Attached PDF Copy

When it is used:
Sent when the Smartform process is completed.
The notification includes a PDF copy of the completed Smartform as an attachment.

Configuration:

  • Email: Select an email template for completion notifications with the PDF attached.

4. Security Code

When it is used:
Sent when a security code is issued to access a Smartform (for example, when access is restricted with additional authentication).

Configuration:

  • Email: Select a template for sending security codes by email.
  • SMS: Select a template for sending security codes by SMS.

5. Reminder

When it is used:
Sent to participants as a reminder to complete their Smartforms if they haven’t done so within the expected timeframe.

Configuration:

  • Email: Select a reminder email template.
  • SMS: Select a reminder SMS template.

How to Configure

  1. Go to Studio → Notifications Tab.
  2. For each notification type, select the desired Email or SMS template from the dropdown menu.
    • Templates are created and managed in Templates → Email/SMS.
  3. Save your configuration.
