Letters
Overview
Letters can be sent on-demand, with or without editing, or be sent from a batch job.
Composing a letter on demand starts by navigating to the specific object record in Salesforce from where you want the letter to be sent. A hierarchy of available templates will be shown based on the Salesforce object, record, template classification, user access etc. The correct template can easily be navigated to in the template tree or quickly be searched for.
A single click on a template will bring up an editor in a new browser tab. The editor will contain the letter based on the template pre-filled will data from Salesforce or other custom data sources. The user edits the letter, adds attachments, brings in texts from text libraries, previews the resulting letter as a PDF and finally sends the letter to the recipient.
Ongoing letters are kept as a reference in Salesforce so that the user or another user can pick up the letter and continue writing and then sending. After sending the letter is archived in our cloud based Centerpoint archive.
All documents produced and stored in the archive contain metadata to make it easy for search and retrieval. A list of all ongoing letters and all documents sent and archived are easily accessed from each Salesforce record.
Smartforms
Overview
Smartforms can be sent on-demand from within Saleforce or be sent on-demand from outside of Salesforce.
Sending a Smartform starts by navigating to the specific object record in Salesforce from where you want the Smartform to be sent, typically an account. A list of available templates will be shown based on the Salesforce object.
A single click on a Smartform will bring up a dialog for selecting participants. A Smartform can either be targeted for a single receiver or contain a multi-step process with more than one receiver (typically used for signing in several steps by different participants). Each participant can be selected from either related contacts or from Salesforce users and the method of notification (SMS and/or Email) for each recipient respectively. After having selected the participant(s) the Smartform can be sent.
Ongoing Smartform processes (forms) are kept as a reference in Salesforce to keep track of each Smartform process status, for multi-step process Smartforms, the current step is always up to date using webhooks. These ongoing Smartforms will be available in a list. After completion of the Smartform process the form is archived in our cloud based Smartform archive. Archived Smartforms will be available in another list.
